1. Introduction

This Privacy Policy describes how Flinder (“we,” “us,” or “our”) collects, uses, and handles information processed through our internal WhatsApp Business messaging application (“the App”). The App is operated solely for internal business purposes to send automated order-related notifications to our customers via the WhatsApp Business API.

By continuing to receive messages from us via WhatsApp, you acknowledge the practices described in this policy.

2. About the Application

The Flinder WhatsApp App is an internal, business-only automation tool. It is not available to the public and is not downloadable or accessible by end users. Its sole purpose is to send automated informational messages to customers — such as order confirmations, shipment notifications, and related updates — on behalf of Flinder.

3. Information We Process

To deliver automated notifications, the App processes the following customer data sourced from our sales platforms (including Shopify and Trendyol):

• Phone numbers — used to send WhatsApp messages to customers
• Order information — including order ID, status, and shipment details, used to personalize notification content

We do not collect any additional personal data beyond what is necessary to send the relevant notification.

4. How We Use the Information

The data processed by the App is used exclusively for the following purpose:

• Sending automated WhatsApp notifications to customers about their orders and shipments

We do not use this data for marketing, profiling, advertising, or any purpose other than transactional order communications.

5. Data Storage and Security

Message logs (records of sent notifications) are stored in a PostgreSQL database hosted on our private VPS (Virtual Private Server) infrastructure. Both our automation server and database are self-hosted and not shared with any external cloud provider beyond our own controlled environment.

We implement appropriate technical measures to protect stored data against unauthorized access, loss, or disclosure. Access to the database and automation systems is restricted to authorized personnel only.

6. Data Sharing and Third Parties

We do not sell, rent, or share your personal data with any third parties for commercial or other purposes.

The App uses the WhatsApp Business API (provided by Meta Platforms, Inc.) solely as the delivery channel for sending messages. Data transmitted through this channel is subject to Meta’s own Privacy Policy and Terms of Service. We do not control Meta’s data practices.

7. Data Retention

Message logs are retained for a reasonable period necessary for operational and troubleshooting purposes. Personal data (phone numbers and order details) is not retained beyond what is required for the delivery of the relevant notification and the maintenance of message logs.

Depending on applicable law, including the Turkish Personal Data Protection Law (KVKK) and, where applicable, the General Data Protection Regulation (GDPR), you may have the right to:

• Request information about the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your personal data
• Object to or restrict the processing of your data
